Not all tasks are created equal. This template helps you prioritize what matters most and stop wasting time on what doesn't.
What is the Eisenhower Matrix?
The Eisenhower Matrix is a prioritization framework that categorizes tasks based on two dimensions:
Urgency: Does this need to be done soon? Importance: Does this matter for our goals?
This creates four quadrants:
- Urgent & Important - Do First (Crisis)
- Not Urgent & Important - Schedule (Goals)
- Urgent & Not Important - Delegate/Minimize (Distractions)
- Not Urgent & Not Important - Eliminate (Waste)
Why This Matters for Bands
Common Problem: Bands spend too much time on urgent-but-unimportant tasks (social media, emails, minor logistics) and not enough time on important-but-not-urgent tasks (songwriting, skill development, strategic planning).
Result:
- Always busy, never productive
- Reactive instead of proactive
- Goals don't get achieved
- Burnout and frustration
Solution: Use the Eisenhower Matrix to focus on what actually moves your band forward.
The Four Quadrants
Quadrant 1: Urgent & Important (DO FIRST)
Characteristics:
- Deadline is soon
- Matters for your goals
- Can't be delegated
- Consequences if not done
Examples:
- Show tonight (load-in, soundcheck, perform)
- Equipment failure before gig
- Last-minute venue change
- Urgent booking opportunity with deadline
- Crisis with band member
Strategy: Do these immediately
Goal: Minimize time in this quadrant through better planning
Quadrant 2: Not Urgent & Important (SCHEDULE)
Characteristics:
- No immediate deadline
- Critical for long-term goals
- Proactive, not reactive
- Easy to postpone (but shouldn't)
Examples:
- Songwriting and creative work
- Skill development and practice
- Strategic planning
- Building relationships
- Marketing and promotion
- Recording new material
- Learning new songs
Strategy: Schedule dedicated time for these
Goal: Spend MOST of your time here
This is where success happens
Quadrant 3: Urgent & Not Important (DELEGATE/MINIMIZE)
Characteristics:
- Feels urgent
- Doesn't actually matter much
- Often someone else's priority
- Distracts from important work
Examples:
- Most emails and messages
- Some social media activity
- Minor administrative tasks
- Unnecessary meetings
- Other people's requests
- Low-value gigs
Strategy: Delegate, automate, or minimize time spent
Goal: Reduce time in this quadrant
This is the trap - feels productive but isn't
Quadrant 4: Not Urgent & Not Important (ELIMINATE)
Characteristics:
- No deadline
- Doesn't matter for goals
- Time wasters
- Procrastination activities
Examples:
- Endless social media scrolling
- Gear obsession (when you don't need it)
- Perfectionism on unimportant details
- Gossip and drama
- Busywork
- Excessive planning without action
Strategy: Eliminate or strictly limit
Goal: Minimize or eliminate time here

How to Use the Matrix
Step 1: Brain Dump
List everything on your plate:
- Shows and performances
- Rehearsals
- Songwriting
- Recording
- Promotion and marketing
- Administrative tasks
- Communication
- Learning new material
- Equipment maintenance
- Relationship building
- Everything else
Step 2: Categorize Each Task
For each task, ask:
Is it urgent?
- Does it have a deadline soon?
- Are there consequences if not done soon?
- Is someone waiting on this?
Is it important?
- Does it align with our goals?
- Does it move us forward?
- Does it matter in the long run?
Place in appropriate quadrant
Step 3: Take Action
